Booking Terms & Conditions

Booking Terms & Conditions

These Terms & Conditions form part of the agreement between Challenge Tri Camp (“the Company”) and the Client. The training camp or clinic is referred to as “the Camp.”

Payment

  1. A 30% deposit is required at booking via bank transfer.
  2. Upon receiving your deposit and booking form, we will confirm your reservation.
  3. You have 14 days to cancel for a full refund. After 14 days, the deposit is non-refundable and non-transferable.
  4. Full payment is required 10 weeks before arrival. Failure to pay results in cancellation and loss of all payments made.
  5. No refunds less than 10 weeks prior to the camp start date.
  6. Flights, transfers, bike hire, personal insurance, hotel tourism tax, and meals/drinks outside of the half-board hotel arrangement are not included.
  7. The Company is not a Package Travel or Linked Travel provider.

Cancellation by the Client

  1. Cancellations must be made in writing.
  2. If cancelling more than 10 weeks before departure, you forfeit your deposit.
  3. If cancelling less than 10 weeks before departure, you forfeit the full balance.
  4. If you have not paid in full, the Company reserves the right to recover the outstanding balance and legal costs.

Insurance & Documentation

  1. Clients must have insurance covering personal injury, medical expenses, repatriation, trip cancellation, and loss or damage to personal property.
  2. A valid passport and necessary visas are the Client’s responsibility.
  3. Clients must provide proof of insurance at least 14 days before arrival.

Changes or Cancellations by the Company

  1. We may need to make minor or major changes before or after confirming your booking.
  2. If a significant change is required, we will offer:
    1. Acceptance of the change.
    2. A transfer to an alternative camp (with cost adjustments if applicable).
  1. No refunds for early departures due to events outside our control (e.g., strikes, accidents, pandemics, etc.).
  2. If a guest coach cannot attend, the camp will proceed as planned, and cancellations will be subject to the standard policy.

Pricing & Additional Expenses

  1. Prices are based on current costs and may be adjusted due to changes in tariffs, supplier costs, currency rates, etc.
  2. Clients are responsible for any additional expenses incurred.

Medical & Health Requirements

  1. Clients confirm they can cycle a reasonable distance to partake in the cycling sessions on camp and have a level of swimming that allows them to partake in group coached session and require 1-1 supervision???  80+ km daily and swim 400m continuously. 
  2. Clients with any medical conditions must confirm they are fit to participate and acknowledge the risks associated with a triathlon training camp. Participants with medications must bring their own and take responsibility for managing their condition.
  3. The Company is not liable for medical care and associated costs.Helmets are mandatory for cycling sessions. Failure to wear one results in removal from the Camp.

Arrival & Departure

  1. Check-in: 15:00 on arrival day (early check-in may be arranged in advance).
  2. Check-out: 12:00 on departure day.

Conditions of Carriage & Transport

  1. The Company does not organise flights, transfers, or train travel and is not responsible for associated contracts.
  2. The Company is not responsible for delays, damage, or loss relating to road transport.
  3. Clients are responsible for bike maintenance and roadside repairs.

Liability & Risks

  1. Participation in activities involves inherent risks. Clients accept full responsibility for injuries or damages caused or incurred.
  2. A disclaimer must be signed upon booking or arrival.
  3. Helmets must meet BSEN 1078 standards. E-bikes are not allowed during camp sessions
  1. Wetsuits – Correctly fitting designed for open water swimming must be worn for all open water swim sessions. Surfing/ diving wetsuits and pool swim skins are not suitable

Damages

  1. Clients are liable for any damage to accommodation or property, whether accidental or deliberate.

Conduct & Behaviour

  1. Clients must behave respectfully towards staff, other participants, and third parties. The Company reserves the right to remove anyone displaying inappropriate, disruptive, or dangerous behaviour without a refund.
  2. Any illegal activity, including drug use, theft etc will result in being removed from camp without a refund.
